See the Patient Portal within Genesis Chiropractic Software A new Patient Portal has been created within Genesis Chiropractic Software. Your patients will be able to fill out their intake forms online at home or online at a kiosk at your office. You’ll also be able to exchange secure messages with them within the Genesis secure software system. This Patient Portal is a much better way to do it versus PDF forms that your patients print out and then fill out. The paper forms still have to be typed into patient demographic forms in the Genesis Chiropractic software, so filling out the paper forms ahead of time saves the patient time but not your staff. A better way to do this is to have your patient type their demographic information directly into the Genesis Patient Portal forms. This will save a lot of time for your staff and it will keep them from making typo mistakes while rushing to get it done. Introducing myself. My name is Jason Barnes. I’m the Chief Operations Officer here at Genesis Chiropractic Software. Every couple of weeks, we get on here and we do a presentation about a new feature or some feature that we had around for a while that maybe we made it a tweak to. But oftentimes, it’s about helping you solve a problem in your practice or that could be affecting your practice so that, you know, when it does happen to you, you know how to take advantage of something that we already offer. And today, we’re actually going to keep it pretty simple, introducing a patient portal. Now, this technology that we’ve been rolling out over the last couple of months here is finally ready to be used, and what we’re excited about today is how to help you do basically two things, how to help patients fill out documentation at home and how to continue to stay qualified for Meaningful Use should you need to. And in addition to that, there’s some information that patients can utilize within the patient portal, send messages, you can send messages back to them so that you can stay in contact with them outside of text alerts, etc. So today we’re actually going to start off with going to the link that I had set up in my email, and we’re gonna work backwards for today. So, working backwards for today, we’re gonna start off with the email that sent. We’re gonna click on that, and we’re gonna show you what the patient is seeing first and foremost of all. Now, there’s two different types of links that you can send here, and we’re gonna show both of them. So, for those practices who want to qualify for Meaningful Use and for those practices who have made a decision that that’s not for them, Meaningful Use being the incentive program that started out for the Centers for Medicaid and Medicare. We are in Stage Three or Phase Three of that right now, and so we’re gonna go to that. And we’re also gonna show you what this looks like for patients who are not doing that. So we’re gonna give you both vantage points today. So, giving you an idea of what it is that your patients are going to be able to see. If you’re sending this to a patient for the first time, there’s not gonna be much of a summary. But if you look at this from the patient’s point of view, how does that patient become a patient, whether at their screening, whether or not they heard an advertisement, or if they walked into your office? How do you get a patient to give you their information and fill out the information that you need to get? It’s going to be through their email that you’re going to get them a link to the Genesis system that will give them access to your particular portal, meaning their portal within the Genesis system. So they’re first gonna get a summary. That summary is gonna have a table of contents which has to do with a few different things…I’m gonna blow this up here, what kind of problems that they had, what kind of medications alerts, what sort of immunizations they’ve had, if any, which are taken from histories. This next one is an XML file. That is a Center for Medicaid and Medicare requirement that you have to have an XML file, should this patient need to take a file such as this and go to Medicare or Medicaid’s website and actually upload it. But more importantly, if you are hooked up with one of our software platforms such as 3RX or MyRxx which are some of those platforms that we offer…this is a just a sample of them. We offer more on this, that offer at-home exercises, ways to remind patients of what their stretches, or their homework is. We actually have those in the patient portal, as well, integrated. Obviously, you wouldn’t see more than one in your patient portal, should you do that. But

Enter your information and watch it immediately below. Read the transcript: Jason Barnes: To start with today, we’re actually going to introduce today’s topic as Patient Balances. This is something that every single practice we deal with has to deal with in one way, shape or form, and how you approach it matters has been what we found. So today we’re actually going to talk mostly about an approach, and then we’re actually going to get into some of the specifics of how you can actually implement a solution within Genesis. So we’re actually going to get started. So I’ve done this before in a few other presentations, we’re gonna define the problem, measure it, address it and see what you can do to actually prevent it moving forward. And that’s patients who don’t pay don’t value the service. Now, “Not going to value the service,” that’s one thing. And it’s something we really want if in the bud, however they don’t value the service and they stop coming, that’s okay. If they don’t value the service and they keep coming yet they don’t pay, how do you know about it? Are you detecting that, and what are the mechanisms in place to take care of those situations? That’s with active patients, but what about balances where you can’t actually reach a patient? We’re going to address that today, too. Measure it. How do you know how big of an issue this is for your practice? We are going to go through the different ways that you should be looking at that. What do you do when somebody’s got a balance? How are you notified? What is it that you and your staff have in place right now to actually tackle this problem when a balance exists? And we’re going to go all the way through from cash patients, to insurance patients, to ones that switch over. And we want to make sure they actually have some policies and procedures in place that you can utilize to make sense of all that, but you don’t have to sit there and monitor and scrutinize. There are ways of actually setting this up where you can you can check to see if these things are working from the desk. And finally and most importantly what is the set up? Are you set up to prevent patient balances from occurring? And if there is going to be a patient balance because I don’t want to be naive thinking there aren’t going to be any, what are we going to do from keeping them from growing from small to large and perhaps even jeopardizing your practice? And we’ll do some toggling back and forth today as we actually get into each issue with the Genesis system and actually show you those things. So defining the problem is actually finding the patients with balances. That’s the problem in it of itself — locating those patients that have balances. Everybody’s got a report. I don’t know any of our competitors out there that don’t have a report. However now you have stumbled into, “I’ve got a report of people with balances, what am I going to do, what is the mechanism of actually following up?” And I’m going to keep going over that particular point over and over again is what is the mechanism to actually do something about it? So we want to find those patients early, we want to find them often. Whenever there is a problem we want to make sure the staff at every single step knows about it, and most importantly and I put it in parentheses at the end here, “(Don’t treat for free).” Most of the practices that we work with have hearts as big as Texas and that’s great. And if you want to treat for free I don’t want to stop you at that, but that’s not the situation I run into. We want to keep balances from growing and we want to handle balances when they actually happen. We want…the problem we’re trying to solve is, “What do I do when I actually identify it? What are the ways I’m going to engage a patient etc.?” So we’re going to get into that. I really hope that the noise behind me is not coming through too loudly. There’s about a half dozen leaf blowers going on 25 feet from me. So…and here’s where we start to get into the nitty-gritty. We’re actually going to start measuring these problems, and we’re going to go in order here: Total Patient Balance – What is it for your practice? Christine: Chip, I’m going to turn…pardon me. Chip, I’m gonna turn the meeting over to you to begin. Chip: All right. Thank you very much, Christine. Thank you, Jason. We’re very excited about bringing you this presentation and we’re excited about our relationship with Genesis. So, let’s get started. What we’re gonna talk about today is how to maximize patient collections and why you, as a healthcare provider, really need to stop and minimize the leaky bucket around bad debt. We need to be able to collect our patient money cost effectively, we need to be able to offer our patients real financial solutions that’ll help them get the care they need, and help you increase your conversion ratio and your cash flow. Why technology and services, and why ClearGage is are unique to the market. And more importantly, how you could integrate these within practice management systems to make sure that you’re able to deliver the revenue generating machine, the ability to collect from patients and the ability to collect from your payers, all seamlessly on one platform. So, why do we need to adopt a leaky bucket related to our healthcare collections? The reality is healthcare providers are one of the poorest businesses in terms of collecting patient receivables. The retail market has 3.5 % bad debt in healthcare. It’s 25% to 50% when it comes to patient collections. And the fastest growing segment of bad debt is patients with insurance, so it’s very important that we put these solutions in. And it’s no secret, as these patients leave your premises, and walk out the door and then we need to bill and chase them, what this slide shows is the cost of collecting your receivable. So, we know that the cheapest way to collect a paycheck receivable is your patient co-pays. You collect it right at the point of care. Oftentimes, you’re collecting it before you see the patient. Most times, you only have merchant account fees associated with it. So, point of care collections is by far the most cost effective. As that claim ages, as your patients walk out the door, and they receive your product or service and then you bill them 30, 60, 90 days, the cost of collections only grows. So, one of the things that we recommend to all of our clients that every one of you who are healthcare providers should adopt right away is what we call card or account on file. Think about it. Hotels do it, car rental companies do it and now you can. And what we’re saying by card on file is you have the ability to capture your patients’ payment vehicle, either their credit, debit card or even their checking account, keep it in a PCI compliant, which means it’s masked, it’s encrypted so no one can use it for any unauthorized purpose, and you keep it on file. So, when your patients come in and they receive your product or service and they pay your co-pay, should they leave and you bill their insurance company only to find out that there’s a post insurance claim or liability, you can go ahead and automatically run that payment. And what does that do? Well, it transforms the payment cycle from where the patient comes in, they pay their co-pay, they see your doc, you create a claim, you drop the claim, whether you drop it. Hopefully, you’re doing electronic claim submission, but you drop the claim, you then wait for the claim to be adjudicated. Then you find out the patient has a balance, and you send a statement and you send a statement, and all of a sudden, you find out that 60, 90, 120 days has passed and your patients still owe you a balance. Well, with our card on file process, what happens is the patient checks in, they give you their payment card, you store it, they give you the agreement and consent for you to store it, you create the claim in the same manner, you bill in the same manner. But instead of sending them a paper statement informing them that they owe you money, our system would actually send them a text or e-mail, and that text or e-mail would notify them that their payment is going to run. So, we would let them know how much money the patient owes and it would even be able to give them, solely up to

Patient Retention With Genesis Chiropractic Software Has Made Life Easier for This Chiropractor In our last blog post, we looked at a just a couple of the success stories Chiropractors have experienced using Genesis Chiropractic Software in their practices. Today, I wanted to take you to the office of Dr. Charles Majors. Dr. Majors has a high-volume practice, with 1,500 patient visits each week.
