ClinicMind supports practices of all specialties, with specialization in Chiropractic, Mental Health, and Multi-Specialty clinic management (EHR and RCM). The recommendations below apply regardless of your specific practice type.
Not sure what setup is right for your practice? Schedule a consultation and we'll walk through your specialty, your team size, and your current tools.
1. Minimum Requirements
Provide this list to your IT vendor or electronics provider to ensure your hardware meets ClinicMind standards.
| Requirement | Spec |
|---|---|
| RAM | 16 GB minimum. |
| Processor | Intel i5/i7 (10th Gen or newer) or equivalent; 3.0 GHz or faster. Apple: any M-series chip (M1 or newer) qualifies automatically. (Intel Macs from 2020 or newer are also fine — Apple doesn't label Intel chip generations, so use purchase year as the guide.) |
| Operating System | Windows 10/11 or macOS, including the previous two versions, are required. Please note that devices running an end-of-life operating system — including both computers and tablets — are not supported. |
| Browser | Preferred: Chrome, Opera, and Opera GX. Not fully compatible: Firefox, Internet Explorer, Edge, and Safari. |
| Internet | 25 Mbps minimum per concurrent workstation, with a ping of 100 ms or less to our servers. Multiply by the number of computers using ClinicMind at the same time — see the table in Networking & Internet below. |
Performance is generally acceptable if at least two core criteria (RAM, CPU generation, or clock speed) are met, though exceeding all three is recommended.
These baselines apply to every individual device in the practice. Total bandwidth needs to scale with the number of concurrent users (see Networking & Internet below).
2. Best-Practice Configurations
- Exam rooms: All-in-one touch-screen PCs for rapid clinical documentation at the point of care.
- Admin / billing: Mac Mini (M1/M2) or business-line desktops (Dell, HP, Lenovo) meeting the minimum specs.
3. Recommended Monitors
- Size: 23-inch or larger HD widescreen. Resolution: 1920 × 1080 (1280 × 960 minimum).
- Touch screens are highly recommended for kiosks and clinical notes.
4. Tablets
| Tier | Device | Notes |
|---|---|---|
| Recommended | Microsoft Surface Pro | Newest models only (less than 3 years old). Use in Desktop mode. |
| Limited | Apple iPad Pro | 12-inch or larger screen required. Standard iPads lack sufficient power. Note: limited right-click support. |
| Not recommended | Android and other tablets | Not enough computing power to run ClinicMind effectively. |
5. Networking & Internet
Your internet needs depend on how many devices are actively connected to your internet at the same time — not your total staff headcount. Think about how many computers will be active during your busiest office hours.
| People using the system at once | Minimum internet speed |
|---|---|
| 1–2 | 50 Mbps |
| 3–6 | 75–150 Mbps |
| 7+ | 175+ Mbps (add 25 Mbps per additional concurrent workstation past 7) |
- A standard modern router works well for most offices — look for "Wi-Fi 6" on the box for the smoothest experience. If you aren't sure what to get, your internet provider can recommend a router that fits your office size.
- Power outages happen, so we recommend using a backup battery (often called a UPS) for your computers and router so your work isn't interrupted.
- It is usually worth paying a little extra for a faster internet plan. This prevents the system from slowing down if staff are also streaming music or watching videos at the same time.
- Test your speed: run a speed test and click "Start." Compare the results to the table above to see if your office has enough speed for your team size. The same test reports your ping, listed as "Ping."
Video Visits (Telehealth)
If your practice does video visits regularly, there's one required network setting:
- Bandwidth: Video visits are already covered by the internet-speed minimums above — no extra bandwidth needed.
- Port 443: Video visits need port 443 open on your network to work at all. If your firewall also allows a connection type called UDP on port 443, call quality improves, but visits still work without it.
If your practice uses a firewall
This table is provided as a technical addendum for IT professionals to ensure proper connectivity. If your practice uses a firewall or security software (like McAfee or Norton) that filters outgoing internet traffic, give your IT provider this web address to allow. This uses a secure connection on port 443 — the same standard connection type your bank's website uses, so no other ports need to be opened. (The "*" in the address just means "any address ending in this.")
| Address | What it's for |
|---|---|
*.vericle.com | ClinicMind app and account access |
6. Accessories
- Barcode scanners: Any standard scanner that plugs into your computer or connects via Bluetooth will work. Many practices use small barcode tags on keychains for patients to scan themselves in quickly.
- Printers: Any wireless printer will work, which allows your team to print documents from any room in the office.
- Security & antivirus: The standard security software already on your computer (like Windows Defender) is usually enough. If you use programs like Norton or McAfee, just make sure they stay updated. If the system feels slow, try turning off any "security extensions" inside your web browser, as these can sometimes interfere with the app.
Frequently asked questions
Can I use an iPad with ClinicMind?
Yes, if it's an iPad Pro with a 12-inch screen or larger. The standard iPad isn't powerful enough. See the Tablets section above for details.
Does ClinicMind work on Chromebooks?
Chromebooks are not recommended, as users may experience limitations with screen sharing and pop-ups.
Can I use a personal hotspot?
Using a personal hotspot is not recommended, as speeds may be slower than a wired or Wi-Fi connection since hotspots use cellular data.
What's the ideal setup for fast documentation?
An all-in-one touch-screen computer in each treatment or exam room. Providers can update and sign a note in about fifteen seconds, right at the point of care.
