Less Manual Work Across Scheduling, Charting, Billing, and Referrals

A smarter fax inbox, a chart that logs its own medications, and patients who can pay from their phone. This ClinicMind release goes after the manual work that piles up across scheduling, charting, billing, and referrals — automating the steps your team shouldn't have to think about, and putting the information you need where you'll actually see it.

Here's what's new:

Referrals Are Picking Up. Here's What's Easier Because of It.

PCP referrals start climbing again once patients settle back into routine care in the fall — and for chiropractic and multi-specialty practices, that's also when PI cases from summer accidents start rolling in, a few weeks behind the accident itself. More referrals means more to track, document, and act on, on both sides of the relationship. This release touches both ends of that: getting patients through the door faster once they're referred to you, and staying on top of who referred them.

Elapsed Room Timer + Color Warning

New. A live timer now sits on every patient card in Rooming, shifting from neutral to yellow to red as wait time builds. No more walking back to check. Turn it on under Settings → Voice and Display, then set your own thresholds per room under Rooms settings.

Schedule Now with 15-Minute Time Increments

Improved. Calendar slots are labeled in 15-minute blocks, so spotting real availability during a busier intake season takes less guesswork. Live now — nothing to turn on.

Patient Flags, Now in Day + Week View

Improved. Flags that used to live only in Agenda View now show up in Day and Week View too. Hover to see what's flagged before you open the appointment. Live now — nothing to turn on.

For practices juggling higher intake volume: pair the rooming timer with 15-minute increments to get a clearer read on where your day is actually running long — before it backs up the whole schedule.

Also new in this section:

  • Configure Your Home Screen (new) — drag, hide, and reorder widgets; your layout sticks across devices. Set it up under the three-dot icon, top right.
  • Toolbar + Action Menu Customization (new) — pin, hide, and reorder chart menus to match how you actually work. Set up from Customize Menu in the toolbar.
  • MyClinicMind Portal Invite Toggle (new) — override your practice-wide portal setting for one patient, right from the new-patient form. No setup — it's just there when you need it.

Same Referral Surge, Different Problem: Managing Who Sent Them

Once patients are referred to you, the question shifts — how do you keep track of who's sending them? This release puts referral sources and provider contacts where they belong.

Fax Inbox Recognizes Referral Requests

AI-Powered. When a referral comes in by fax, it's tagged automatically. If the patient isn't in the system yet, their chart can be created right from the inbox, pre-filled from what the fax already told you — and the referral source is logged, so you always know who's sending you patients. Live now — nothing to turn on.

Unified Provider Address Book

Improved. Referring providers, fax contacts, and care team members now live in one address book. Add a contact once with an NPI, and it's available everywhere a provider reference is needed. Live now — your existing contacts have already been merged in.

For behavioral health practices: this isn't just referring practices — case managers and care coordinators belong in the same address book now too, and they'll show up automatically anywhere a care-team reference is needed.

The Chart Now Does More of the Documentation for You

Some of the most repetitive documentation — logging what was administered, translating a summary, tracking outcomes visit over visit — now happens in the moment, or on its own.

Medication Administration Record

New. Medications given in-office now log to a dedicated Medication Administration Record. Live now — required fields appear automatically.

For practices administering MAT or injectables (e.g., Vivitrol): this is the update to know about. Documentation that used to happen after the fact — or get chased down before an audit — is now built into the moment of administration.

After Visit Summary, Now in Multiple Languages

AI-Powered. Since last release, AI has been drafting the After Visit Summary the moment a clinician signs off. Now that same one-click summary can be generated in the patient's language — Spanish, French, Chinese, Vietnamese, Tagalog, Korean, Russian, and more — published straight to the portal. Live now — select the language from the AVS split button.

Also new in this section:

  • Flowsheet (new) — vitals, pain scores, or other outcome measures across every visit, in one trend view instead of note-by-note digging.
  • In-Office Medication Formulary (new) — a master list of what's on hand, organized by drug class. Admin sets it up once under Formulary in the navigation.
  • Fax Referring Providers at Sign-Off (new) — right from sign-off, pick the referring provider, add any extra documents, write a cover letter, and send — no separate trip out of the chart to fax the note.
  • Documents — Scheduled Send (new) — recurring forms (check-ins, follow-up questionnaires) go out automatically once you set the interval, and you can make your own XDocs.

Billing Gets Cleaner on Both Sides of the Counter

Patients get a simpler way to pay, and your team gets statements and superbills that are easier to produce and easier to read.

Pay Balance from the MyClinicMind App

New. Patients can see their balance and pay it from the app — no call, no office visit. The total pre-fills, they pick a payment method, and the balance updates the moment it clears. Live now — nothing to turn on.

For self-pay or out-of-network-heavy practices (common in both chiro and behavioral health): this is a direct way to reduce the back-and-forth on collecting payment before or between visits.

Redesigned Patient Statement + Superbill

Improved. Both are rebuilt: control which columns print on the statement, and itemize, date-filter, and customize the superbill for insurance or an attorney. Both are one click away from the action menu or your pinned toolbar. Live now — nothing to turn on.

For visit-capped or pre-authorized plans: a clean, itemized superbill matters more when a payer or patient is counting visits — this update makes that easier to produce on demand.

Also new in this section:

  • Client Emails Are Redesigned (new) — your practice branding now carries through to every patient-facing email. Live now — defaults to your current logo and colors.

Also Worth a Look

Custom Dashboard Layout

Improved. Pin, remove, and add dashboard tiles — including Claims Watch for a practice-wide view. Saves per user, so everyone's dashboard is their own. Set up under the customize layout panel on your home screen.

In case you missed it: AI-generated After Visit Summaries shipped last release — this release just gave that same feature a passport. If your team hasn't turned it on yet, multiple languages is a good reason to start now.

A couple other threads worth tying together across releases:

  • Home screen, twice over. Last release added Dashboard Mini-Widgets so you could pick what to track at login. This release lets you fully customize the layout around them — so if you set up widgets in June, it's worth a second look now.
  • Documents on a timer, both directions. Last release added automatic tracking for documents that are expiring. This release adds automatic sending for documents that go out on a recurring schedule — together, that's most of a document's lifecycle handled without a manual check-in.
